Role Overview: Administrative Assistant
As an Administrative Assistant within the Asset & Wealth Management Operations team, you will support leadership by ensuring that administrative tasks are efficiently managed and executed. The role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks and projects simultaneously.
Your responsibilities will include a broad range of tasks that support both day-to-day operations and long-term planning efforts. From managing calendars to coordinating logistics for various events, you will be a key player in keeping the office and teams organized and productive. Additionally, you will be responsible for managing new hire onboarding, contractor management, and supporting teams with a variety of operational needs.
Key Responsibilities: Goldman Sachs

Calendar Management:
- Manage the calendars of senior leadership, ensuring that appointments, meetings, and deadlines are met.
- Coordinate and schedule internal and external meetings, ensuring that all necessary materials are prepared in advance.
- Keep track of important dates and appointments and proactively remind leadership of upcoming commitments.

Timesheet Data Entry and Manager Alignments:
- Ensure that timesheets are accurately entered and aligned with departmental and project requirements.
- Work with managers to verify timesheet data and resolve any discrepancies.

Role Management System Administrator:
- Administer and manage the Role Management System (RMS) to ensure the smooth allocation of roles within the department.
- Support leadership in assigning roles, tracking progress, and ensuring that all relevant data is accurately updated.

Performance Manager Systems Champion:
- Serve as the Performance Manager Systems (PMS) champion, ensuring that all necessary performance-related data is accurately entered and updated.
- Support leadership in monitoring team performance, identifying areas for improvement, and providing assistance as needed.

Office Space System Management and Seating Coordination:
- Manage office space systems and coordinate seating arrangements for employees.
- Ensure that seating assignments are updated regularly, and any new requirements or adjustments are addressed promptly.

New Hire Access and Employee Transfers:
- Manage the onboarding process for new hires, including system access setup and coordination with HR for proper documentation.
- Support employee transfers by ensuring that all necessary steps, such as access and seating arrangements, are completed smoothly.

Contractor Onboarding:
- Assist in the onboarding process for contractors, ensuring that all relevant materials and access are provided.
- Coordinate with HR and other departments to ensure the smooth integration of contractors into the team.

Expense Management and Preparation:
- Manage expenses for the team, ensuring that all receipts, invoices, and payments are processed on time.
- Work with leadership to prepare expense reports, track spending, and ensure that the team stays within budget.

Logistics for Local Sessions:
- Coordinate logistics for local sessions, such as compliance refreshers or training sessions.
- Ensure that all materials, venues, and technology are set up in advance, providing a smooth experience for attendees.

Visitor Logistics:
- Manage logistics for visitors, including arranging for transportation (cab bookings), building access, and room bookings.
- Ensure that visitors have all necessary information upon arrival and provide them with any additional support they need.

Coordination with Internal and External Vendors:
- Coordinate with internal teams and external vendors for staff engagement events and team-building activities.
- Ensure that all events are well-organized, providing necessary resources and support to ensure success.

General Support:
- Provide day-to-day support for teams, responding to operational needs, addressing queries, and helping with any issues that arise.
- Act as the go-to person for administrative assistance and support across various functions.
